This Privacy Statement explains how Mind-O-Gram (“MOG,” “we,” “us,” “our”) collects, uses, shares, and protects information when you visit our website, contact us, or participate in our pilots/research. We may update this notice by posting a revised version here.

1) Scope

This notice applies to:

  • Our public website and pages we control.
  • Business communications (e.g., contact forms, email, events).
  • Pilot/research participation where MOG acts as a data controller unless a separate consent or data-processing agreement says otherwise. If a study consent, IRB protocol, DPA/BAA, or contract conflicts with this notice, the study/contract governs.

2) Information We Collect

Personal Information (you provide): name, email, phone, organization, role/title, country/region, and any content you submit via forms or email. For pilots/research, we may collect participant IDs and limited demographics only as allowed by consent/protocol.
Technical/Usage Information (we collect automatically): device/browser type, IP address, general location, pages viewed, referring page, time on site. We may use cookies or similar tech to operate the site, remember preferences, and understand usage.
Pilot/Research Data (R&D): If you join a pilot or research study, we may collect signal data and related metadata only as described in the study consent and under applicable approvals (e.g., IRB) and contracts (e.g., DPA/BAA). Such data may be de-identified or pseudonymized and used for analysis, quality assurance, and model development. We do not use study data for advertising.

Important: MOG is in R&D and provides decision support and monitoring. It is not a diagnostic device. Clinical diagnosis is made by a licensed clinician.

3) How We Use Information

We use information to:

  • Operate and improve the website and respond to inquiries.
  • Plan and manage pilots/research; communicate with participants as permitted by consent.
  • Analyze, maintain, and enhance product quality, safety, and performance (R&D).
  • Create aggregated/de-identified
  • Comply with legal, regulatory, and security obligations.

We may combine information from different sources where permitted.

4) Legal Bases (where required)

Where law requires a legal basis (e.g., EU/UK/EEA), we rely on: consent, legitimate interests (site operation, product R&D, security), contract, and legal obligation. Health-related processing for pilots occurs only as authorized by consent/IRB and contract.

5) Sharing & Disclosure

We may share information with:

  • Service providers/processors (hosting, analytics, email) under contract and only for services they perform for us.
  • Research/clinical partners for approved pilots/studies under IRB/contractual controls (e.g., DPA/BAA).
  • Advisors/affiliates (e.g., legal, accounting) under confidentiality.
  • Authorities when required by law, safety, or to protect rights.

We do not sell personal information. We do not use pilot/research data for advertising.

6) Cookies & Analytics

We may use strictly necessary cookies and, where permitted, analytics cookies to understand site performance. You can control cookies in your browser; some features may not work without them. If we use third-party analytics, those providers may set their own cookies, see their policies.

7) Data Retention

We retain personal information only as long as necessary for the purposes above, to meet legal obligations, and to resolve disputes. Pilot/research data retention follows the applicable consent, protocol, IRB, and contract.

We use reasonable administrative, technical, and physical safeguards to protect information. No system is 100% secure; please consider this when sharing information online or by email.

9) Children’s Privacy

Our website and pilots are not intended for children unless expressly allowed by an approved study with proper consent. We do not knowingly collect personal information from children outside such controlled settings.

We may process and store information in the United States and other countries. Where required, we implement safeguards for international transfers (e.g., Standard Contractual Clauses).

11) Your Rights & Choices

Depending on your location, you may have rights to access, correct, delete, or restrict your personal information; object to certain processing; or request data portability. You may also opt out of non-essential communications at any time. To exercise rights, contact privacy@mindogram.org (or your study contact, if you are in a pilot). We will respond as required by law.

For pilot/research participants, please follow your consent form for questions, withdrawal, or data requests.
